Optimisation of HR Reporting with implementing SAP® Business Warehouse

Company
Scheufelen is based in the Lenningen Valley near Stuttgart in southern Germany and produces paper, especially premium coated paper and real art paper (e.g. for automotive industry). Scheufelen has about 800 employees and uses SAP® HR since 2001.
 
Currently SAP® HR supports Scheufelen in the processes of organisational management, personnel administration, time management and payroll. In HR reporting Scheufelen uses the Managers Desktop. This tool provides managers with online reports (until now only reports within R/3®) about the own org unit. In 2005, Scheufelen implemented SAP Business Warehouse for the finance and controlling department. In 2006, they implemented it for the HR department, too. In summer 2006, the system was going to be upgraded from 4.7 Extension Set 1.0 to ERP 2005.
 
Motivation
Before the implementation of the Business Warehouse they circumstantially created their HR reports with SAP® HR and MS Excel. They downloaded the raw data out of SAP® HR, edited, and formatted them in MS Excel and sent the report via e-mail to the managers and other addressees.
 
Implementation
Consultants of the iProCon GmbH with assistance from the PIKON Deutschland AG carried out the implementation project. As a first step, different teams of consultants and project members of Scheufelen collected all requirements to the new HR reporting using the SAP Business Warehouse. The outcome was a reporting concept which was the basis of the implementation. The concept contained information about
  • the data that is already provided by the SAP® standard,
  • the data that has to be obtained out of the R/3® or other sources and
  • if and how the collected data have to be processed and extended later on.
During the concept-phase we identified weak points in the area of reporting payroll results and personnel cost planning data. The results could only be reported on the level of wage types but there is no information at all on the level of G/L accounts. Data are available simply on the level of symbolic accounts that are known in the payroll.
 
This requirement had to be put into effect in order to compare planning results of personnel cost planning with actual payroll results.
 
Consultants from iProCon and PIKON presented a high-performance and sustainable solution as follows:
  • The payroll extractor had to be processed.
  • The extractor for the personnel cost planning could not be processed.
  • We identified a possibility to transfer the posting to accounting customizing of HR module to BW.
Now in the Business Warehouse the G/L account as a feature for reporting is available there, too.
 
Profit
After implementing the Business Warehouse all reports are available directly and without media disruption now. No report processing is necessary to get the required cost center or organisation hierarchies.
 
Next Steps
The next step is to integrate the BW-reports into the Managers Desktop whereby the sending of the BW-reports is obsolete and the managers can retrieve the reports when it is necessary. In the middle-term Scheufelen is contemplating about retrieval of the BW-reports via Web-Reporting.
